Policy statement

Learnmore Network Limited and its associate and subsidiary companies (hereinafter called Learnmore) will ensure that all learners produce work which is entirely their own and will reject work if it has been plagiarised or produced with generative Artificial Intelligence (AI).  Learnmore have a responsibility to itself and Awarding Organisations to ensure it maintains the integrity of the qualifications we are associated with by maintaining the quality, currency and authenticity of the work produced by our learners.

This policy seeks to establish clear guidelines on plagiarism and the unacceptable use of artificial intelligence (AI) by learners undertaking apprenticeships and formal qualifications through Learnmore Network Limited. It aims to uphold academic integrity, ensure genuine knowledge and skill acquisition, and maintain the credibility of assessments and qualifications.

Scope

This policy applies to all learners enrolled in accredited programmes, Apprenticeships, training courses, and formal qualifications provided by or in partnership with Learnmore Network Limited.

Plagiarism and AI-Generated Content

Plagiarism – the practice of taking someone else’s work or ideas and passing them off as one’s own.

Generative Artificial Intelligence (AI) – a type of artificial intelligence (AI) that can create new content and ideas, such as images, text, and videos, and also reuse what it knows to solve new problems.

Plagiarism refers to the act of presenting someone else’s work, ideas, or creations – including those generated by artificial intelligence (AI) as one’s own, without proper acknowledgment. This includes but is not limited to copying text, ideas, code, or other outputs generated by AI tools such as chatbots, content creators, or programming assistants.

Plagiarism is not permitted and will not be tolerated by Learnmore Network and it’s employees in any instances.

What is Considered Plagiarism?

The following actions constitute plagiarism and are strictly prohibited:

  • Using AI tools to produce written work, designs, or any other content and submitting it as original work without proper disclosure and attribution.
  • Copying or paraphrasing content from another source (e.g., text, artwork, or graphs) into assessments, reports, projects, or other products of evidence without explicit acknowledgment.
  • Presenting ideas, arguments, or research findings generated from another source as one’s own without proper attribution.
  • Allowing AI to produce a significant portion of any work that is meant to reflect personal understanding, skills, or application of behaviours.
  • Combining AI-generated and human-created content without making it clear which parts were AI-assisted.

Unacceptable Use of AI

The following are deemed unacceptable uses of AI in the context of apprenticeships, training courses, and formal qualifications:

  1. Academic Dishonesty
    • Using AI tools to complete assessments, tests, or assignments intended to evaluate individual knowledge, skills, or understanding.
    • Submitting work generated by AI as one’s own without proper authorisation or acknowledgement.
  1. Plagiarism
    • Copying or paraphrasing content produced by AI without proper attribution.
    • Misusing AI to produce work that replicates the structure, ideas, or expressions of another source, whether human or AI-generated, without appropriate citation.
    • Presenting AI-generated outputs as original work without disclosure.
  1. Misrepresentation
    • Using AI to fabricate evidence of skills or achievements, such as falsified portfolios, AI-generated certificates, or inaccurate work logs.
    • Claiming AI-generated outputs as evidence of technical, creative, or professional competence without having performed the required tasks.
  1. Undermining the Learning Process
    • Employing AI to bypass experiential or practical tasks critical to skill development.
    • Using AI tools to simulate engagement, participation, or attendance in programme and qualification activities.

Consequences of Policy Breaches

Violations of this policy will be treated as serious misconduct. Actions may include:

    Allegations of misuse will be thoroughly investigated by Learnmore Network’s internal quality team. If the individual/s involved are found to be in breach of the policy requirements, it may lead to:

    Depending on the severity of the breach, disciplinary measures may include:
    • Formal warning
    • Requirement to rework and resubmit the work
    • Suspension from the programme
    • Termination of enrolment on programme
    • Notification provided to relevant accrediting or regulatory bodies
  1. Revocation of Qualifications
    Qualifications or certifications obtained through academic dishonesty or other breaches may be revoked.

Permitted Use of AI

The use of AI may be allowed under the following conditions:

  • AI tools are used solely for supplementary purposes, such as grammar assistance, research, or data analysis, with clear attribution when applicable. (N.B. the use of AI for these purposes in formal exams and assessments, such as Functional Skills qualifications is not permitted).
  • AI tools may be used for research purposes, provided correct and accurate reference is given to the source.
  • For work product evidence where the learner is required to utilise AI tools to produce work outputs within a professional environment. N.B. This will require context and reference to the usage.
  • All AI usage adheres to professional, ethical, and industry standards.

Policy implementation

To ensure the effective application and enforcement of this policy, the following measures will be implemented:

  1. Communication and Awareness
    • Policy Dissemination: All Learners and Employers will be provided a copy of this policy during enrolment or induction.
    • Awareness Sessions: Dedicated sessions on acceptable AI use, plagiarism, and academic integrity will be integrated into induction to programmes.
    • Declaration of authenticity: All submissions made by the learner will be subject to the inclusion of a signed statement of authenticity, to clearly declare that all is a product of the learners own work, unless clearly acknowledged and referenced within the submission.
    • Ongoing Support: Learners will have access to resources, such as FAQs and opportunities to seek clarification from coaches and trainers.
  1. Monitoring and Detection
    • Proactive Oversight: Learnmore Network employees will monitor submissions for indications of AI misuse and inconsistencies in participant performance or style.
    • Detection Tools: If suspected breach of this policy, Learnmore will run suspicious evidence and work products through Plagiarism and AI detection software (Turnitin) to generate a Similarity and AI report.
  1. Reporting and Investigation Procedures
    • Reporting Mechanism: A clear and accessible process will be established for staff and students to report suspected breaches of the policy.
    • Investigation Panel: A designated panel consisting of representatives form the Quality team, and impartial individuals will investigate reported incidents to ensure a fair and unbiased review process.
  1. Enforcement of Consequences
    • Record Keeping: All incidents and outcomes will be documented for accountability and to inform future policy reviews.
  1. Continuous Improvement and Feedback
    • Annual Review: This policy will be reviewed annually to address advancements in AI technology, feedback from stakeholders, and evolving educational standards.
    • Stakeholder Engagement: Feedback from learners, Learnmore staff, and industry representatives will be sought to ensure the policy remains relevant and practical.

Review of this policy

This policy is effective from 29/08/2025.

The effectiveness and validity of this policy will be reviewed annually, unless an update is required beforehand due to a change of legislation or any event that requires it.
